Excel is often the central tool of a small business: sales tracking, schedules, dashboards. Over time, some files require more and more manual handling. Here are five signs that a file deserves to be automated.
1. You redo the same steps every week
Sorting, filtering, deleting columns, formatting the same export: when a series of actions repeats identically, a VBA macro or a script can run them in one click.
2. You copy and paste between several files
Gathering files received from several people, carrying figures from one sheet to another: these copy-pastes take time and are a frequent source of errors. They can be replaced by an automatic consolidation.
3. Only one person knows how to run it
If the file relies on a procedure that only one person knows, their absence blocks everything. Automating the steps makes it simpler to hand over.
4. Errors always appear in the same place
An overwritten formula, a forgotten row, a mistyped date: automatic checks and drop-down lists limit these errors at the source.
5. The file is becoming slow or fragile
Dozens of sheets, cascading formulas, links to other workbooks: beyond a certain point, it is better to restructure the file, or even move part of the processing into a script or another tool.
Where to start?
- Write down the repetitive tasks and how often they happen.
- Keep an example of the starting file and of the expected result.
- Start with the most frequent task: that is often where automation is most noticeable.
For common needs, a ready-made tool may be enough. As soon as your case is more specific, custom automation, done on a quote basis, takes over.
